We are seeking a highly motivated individual for the position of Athlete Service Coordinator, DACH Region reporting to Athlete Service Manager, DACH Region based in our Austria office.
This is a hybrid role requiring a minimum of three days per week in the office.
Athlete Services Coordinator (m/f/d) Start: from July 2026; Full-time (40 hours/week).
The Opportunity:
The Athlete Services Coordinator is responsible for overseeing the entire athlete experience, including creating online registrations, responding to athlete inquiries, managing the website, assigning bib numbers, communicating with athletes by email, setting up and coordinating onsite registration, supporting the awards ceremony, and managing all post-event processes. Close collaboration with other departments, the Race Director, the Global Partnerships team, the timing company, referees, announcers, the marketing team, and the medical team is important to ensure a smooth experience for athletes.
Event responsibilities within Athlete Services: IRONMAN events in the DACH region, and, where applicable, events from other series, such as MTB events in the Epic Series
Key Responsibilities

Handling athlete email and phone inquiries for IRONMAN events in German and English

Processing athlete cancellations and transfers

Coordinating event registrations online and onsite

Managing and maintaining the online registration tool and athlete database

Coordinating interns who support events in our area during the season, approximately six months

Coordinating team leads and onsite volunteers who support registration

Supporting website content updates

Supporting order management for athlete registration materials, including bib numbers, swim caps, etc.

Planning, organizing, setting up, and ensuring the smooth running of onsite registration, including coordinating volunteers for this area

Qualifications & Experience:

Bachelor’s degree or vocational training preferred, ideally in administration, business, sport, or endurance/event management.

1–2 years’ experience in sporting events, athlete services, customer service, or a related environment.
- Fluent written and spoken German and English.
- Strong customer service mindset with excellent communication and interpersonal skills.

Highly organised, reliable, resilient, and able to manage multiple priorities in a fast-paced event environment.
- Independent, service-oriented working style with strong problem-solving skills and attention to detail.

Collaborative team player with the ability to coordinate and lead volunteers onsite.

Proficient in MS Office, particularly Excel and Word.

Willingness to travel to events, including weekends.

Enthusiasm for triathlon, cycling, trail running, or endurance sports is desirable but not essential.
