The role
We are recruiting a candidate to provide operational planning and administrative support in the delivery of exceptional winter holiday and educational experiences for school ski groups travelling to Austria.
This varied and fast-paced role requires excellent attention to detail, strong organisational and interpersonal skills, and a thorough understanding of logistics, customer service delivery, and supplier coordination.
The successful candidate will play a key role in ensuring the smooth planning and delivery of exceptional ski experiences for school groups in Austria.
What you’ll be doing
Reporting directly to the Austrian based Operations and Contracts Manager and working closely with UK Overseas Operations and Admin teams, the key responsibilities of the role include:
Administrative and operational responsibilities:
- Planning and coordinating the operational logistics for each individual school group prior to their arrival into Austria.
- Collaborating with UK teams to manage group requests and specific requirements, ensuring accurate communication and coordination with local suppliers.
- Liaising with German-speaking overseas suppliers, including hotels, ski schools, lift pass providers, ski hire companies, evening entertainment venues, and transport operators.
- Planning and coordinating evening activities across all resorts, including bowling, ice skating, and other après-ski experiences, while working closely with UK administration teams to identify suitable options for each group.
- Managing ongoing booking updates and supplier confirmations, overseeing accommodation, ski school, ski hire, and après-ski arrangements.
- Communicating special requests, dietary requirements, and other group-specific information to suppliers.
- Coordinating group allocations and preparing detailed hotel rooming plans.
- Supporting the implementation and coordination of Health & Safety procedures across the Austria programme.
Recruitment administrative responsibilities:
- Sourcing and recruiting ski representatives through university partnerships and targeted recruitment channels.
- Supporting the training and onboarding of peak-season ski representatives under the guidance of the Operations and Contracts Manager.
- Coordinating ski representative placements, working closely with the Operations and Contracts Manager to ensure representatives are allocated effectively across suitable resorts in Austria.
- Preparing and administering UK and overseas ski representative contracts.
- Coordinating cost-effective transport arrangements for high-season representatives within agreed budgets.
- Managing ski representative accommodation and ski hire arrangements prior to arrival.
- Maintaining accurate uniform stock records throughout the season, including completing start and end-of-season stock checks and reporting.
- Providing regular updates to the Operations and Contracts Manager on progress, requirements, and operational matters.
Finance administrative responsibilities:
- Coordinating the issue, tracking, and reconciliation of cash floats provided to ski representatives.
- Processing and reconciliation of weekly ski representative expense claims, ensuring all costs are accurately recorded and reported.
- Processing and verifying overseas supplier invoices and deposits against approved requests, agreed rates, payment schedules, and reservation system records, resolving any discrepancies or queries as required.
- Maintaining accurate financial records and supporting the reconciliation and reporting of end-of-season accounts in collaboration with the UK Finance team.
What we are looking for
- Exceptional administrative, communication, and interpersonal skills, with the ability to work effectively both independently and collaboratively as part of a team
- Knowledge and experience of resort operations, with an understanding of ski destinations (particularly within Austria)
- An interest in skiing and winter sports, with knowledge or experience of the industry is considered advantageous
- Conversational English language skills, both written and verbal
- Conversational German language skills, both written and verbal
- A positive, flexible, and patient approach
- Adaptable to changing priorities, with the ability to remain calm, organised, and effective under pressure while managing priorities and deadlines
- Strong commercial awareness, with excellent numeracy and attention to detail
- High level of proficiency in Microsoft Word, Excel, and Outlook
