Position Overview
For IRONMAN Austria, based in Klagenfurt, we are seeking a highly motivated individual for the position of Athlete Services Coordinator (M/F/D) .
The Athlete Services Coordinator is responsible for overseeing the entire athlete experience, including creating online registrations, responding to athlete inquiries, managing the website, assigning bib numbers, communicating with athletes by email, setting up and coordinating on-site registration, supporting the awards ceremony, and managing all post-event processes.
Close collaboration with other departments, the Race Director, the Global Partnership Team, the timing company, referees, announcers, the marketing team, and the medical team is important to ensure a smooth experience for the athletes.
Event responsibilities within Athlete Services include IRONMAN events in the DACH region and, where applicable, events from other series, such as MTB events in the Epic Series.
What You’ll Be Doing

- Handling athlete email and phone inquiries regarding IRONMAN events in German and English
- Processing athlete cancellations and registration changes/transfers
- Coordinating event registrations both online and on-site
- Managing and maintaining the online registration tool and athlete database
- Coordinating interns who provide seasonal support, approximately six months, for events in our area
- Coordinating team leaders and volunteers on-site who support us with registration
- Supporting content updates on the website
- Assisting with order management for athlete registration materials, such as bib numbers, swim caps, etc.
- Planning, organizing, setting up, and ensuring the smooth operation of on-site registration, including coordinating helpers for this area
What You Bring to the Team
We’re looking for someone who doesn’t just tick boxes, but thrives in our fast-paced, global environment. Ideally, you:
- High level of customer service
- Bachelor’s degree or vocational training, ideally in administration, business, sports, or endurance/event management
- 1–2 years of experience with sports events or in customer service
- Fluent written and spoken language skills in German and English
- Independent and service-oriented working style
- Flexibility and reliability
- High resilience and strong interpersonal skills
- Team player with the ability to lead a team of volunteers
- Strong organizational and time-management skills
- Interest in sports, particularly triathlon, cycling, and trail running, is desirable but not essential
- MS Office skills, especially Excel and Word
- Willingness to travel to events, including on weekends
