WHO YOU’LL WORK WITH
You will join our Office Services team in Vienna, a collaborative, service-oriented team of highly accomplished professionals that plays an integral role in delivering an exceptional experience for clients, visitors, and Bain colleagues every day. The team is responsible for facility management, events and catering, and the end-to-end coordination of all office-related services. Office Services partners work closely with stakeholders across all functions in Germany and Austria including consulting teams, Executive Assistants, IT, and Recruiting, to enable seamless day-to-day operations and sustain a welcoming, professional office environment. In this role, you will engage with colleagues at all levels of the organization and contribute to the high-performance, people-first culture that defines Bain.
WHAT YOU’LL DO
- Representing the company at the front desk, welcoming visitors and clients, handling and forwarding telephone calls in both German and English
- Performing general reception duties
- Managing and coordinating conference rooms
- Assistance with planning and executing events and client meetings
- Handling incoming and outgoing mail
- Monitoring the security system, including computer-controlled access permissions as well as data entry and management of access cards
- Coordination with external service providers
ABOUT YOU
- Several years of professional experience in a comparable environment
- Experience in the hospitality industry is an advantage
- Excellent German and English language skills
- Strong organizational skills, resilience, and flexibility
- Excellent communication skills
- Strong attention to detail
- Service-oriented personality with impeccable manners who remains calm under pressure
- Initiative-driven with a conscientious and reliable working style
- Proficiency in all common MS Office applications
- Good technical understanding

The position is covered by the Austrian Collective Agreement for employees in Information and Consulting (Kollektivvertrag für Angestellte in Information und Consulting). The minimum gross monthly salary is EUR 2,173.58 (Classification Group II, first year of classification, paid 14 times per year), with willingness to overpay.
